How to schedule a meeting in Outlook
Outlook's calendar lets you invite people, find a time that works and add a Teams link in a few clicks. Here's the quickest way, on the desktop or web app.
- Open the Calendar
In Outlook, click the calendar icon in the left-hand bar (below Mail).
- Start a new meeting
Click New event (or New Meeting). A blank event opens with title, attendees and time fields.
- Add a title and invitees
Give the meeting a clear title, then type each person's email in the Invite attendees / To field. Outlook autocompletes from your contacts.
- Set the date and time
Pick the start and end. Use Scheduling Assistant to see when attendees are free and avoid clashes.
- Add a Teams link (optional)
Toggle Teams meeting on to drop a join link into the invite automatically.
- Send
Click Send. Everyone gets a calendar invite they can accept, decline or propose a new time for.
The faster way: share a link, not a time
Every method above has the same gap — you still have to agree the time first. Flip it: instead of proposing slots, share a Calenkli booking link. The other person picks an open slot from your real availability, shown in their own time zone, and the meeting (with a video link) is created automatically.
Stop scheduling by email. Calenkli turns your calendar into a booking link people can use in one click — free, with reminders that cut no-shows.

How do I let people outside my company book a time in Outlook?
Outlook's free/busy only covers your own organisation, so for external invitees you usually email back and forth. A booking link solves this: share one link and anyone — inside or outside — picks a slot from your real availability.
How do I add a Teams link to an Outlook meeting?
When creating the event, switch the Teams meeting toggle on. Outlook inserts a join link into the invite automatically.
Turn time into booked meetings
Calenkli gives you a free booking link: people pick a slot in their own timezone, answer your questions first, and the meeting lands on your calendar automatically.
